One assistant

Three places it answers. One set of rules.

It is one assistant, not three tools bolted together. Someone who calls at nine at night and someone who types into your website at nine at night get the same answers, because there is one place those answers live and you are the one who wrote them.

Hi, you are chatting with a virtual assistant. What can we help with?

Do you work in Bentonville?

The widget on your site runs the same conversation, and what it books lands in the same place a phone call does.

The name is yours

Savannah is the name it comes with. Tell us to call it something else and that is the name it gives out at the start of every call.

Included, not sold apart

Missed call text back and speed to lead texting (answering a brand new lead within seconds) are part of this. We never sell them on their own.

When texting starts

Texting switches on once the carriers approve your business. Usually a few days, sometimes a few weeks. We file it the day you sign.

Savannah Virtual assistant 0:00

Thanks for calling Ridgeline Heat and Air, this is Savannah, their virtual assistant, and the call is recorded. What's going on with your system tonight?

Caller 0:05

My AC quit sometime this afternoon. House is sitting at eighty four and it's not coming down at all. I've got a two year old in here.

Savannah 0:12

That's miserable, I'm sorry. Let's get somebody out to you. Is the outdoor unit running at all, or is it completely quiet?

Caller 0:20

The fan outside isn't spinning. Inside's blowing, but it's just warm air.

Savannah 0:24

Okay. I'll note the fan isn't turning, so whoever comes out knows what they're walking into. What's the service address?

Caller 0:33

412 Turner Ridge Road, Rogers.

Savannah 0:37

That's well inside our area. I have tomorrow, eight to ten in the morning, or I can put you on tonight's emergency list, which carries an after hours charge. Which would you rather?

Caller 0:46

Tomorrow morning's fine.

Savannah 0:49

You're booked for tomorrow, eight to ten. I'm texting the confirmation to this number now, and you'll get a reminder at seven. Anything else I can do for you?

Tomorrow, 8:00 to 10:00 Booked at 11:43 PM. Confirmation text sent. Nobody in the office.

Scope

What it takes, and what it hands back.

What it hands to you matters more than what it handles. An assistant that improvises past what it knows is worse than no assistant at all.

It handles

  • New service calls at any hour. Weekends and holidays included
  • A text back within seconds when a call rings out
  • Spam and sales calls. It screens them and logs them, so you do not have to
  • Web form fills and messages from your Google profile
  • Checking the job against your service area and the work you take
  • Booking on your live calendar. Moving or canceling it when plans change
  • A spoken confirmation on the call and a reminder the morning of
  • Your hours, your brands, your pricing ranges. The answers you gave it

It hands to you

  • Firm quotes on work nobody has laid eyes on
  • Payments and card details. It never asks for either
  • Commercial bids and warranty disputes
  • Angry customers, right away, without arguing first
  • Anyone already out on a job who needs redirecting
  • Anything it was not given an answer for

Spam calls

The spam rings the assistant, not you.

Every business line gets them. The warranty robot. The voice that found a problem with your Google listing. When your number points at the assistant, those calls ring it first.

It asks what the call is about, works out there is no job on the line, and lets the call go. It writes the whole thing in your log so you can see what it caught. Your phone stays in your pocket.

  • Screened before it rings you
  • Every call in the log
  • Real customers get through

Hear it yourself

Call the number in our header.

That line is answered the same way the call above was, before it ever reaches a person. Ask it something awkward. Publishing the number is the whole point.

(479) 580-8385

Answered around the clock.

The rules we run it by

It says what it is, and it knows where to stop.

What every caller hears

Calls are answered by a virtual assistant that says so at the start of every call. It handles the routine part well: what is wrong, where you are, what your schedule has open. Anyone who wants a person gets routed to one. Anything urgent or unusual is escalated rather than handled. Calls are recorded, with notice, so you can hear exactly what was said on your behalf.

  • It does not improvise.

A complaint, a billing question, a firm price on work nobody has looked at: it stops. It says a person will call, then sends the whole thing to you with the recording attached.

  • It never asks for money.

No card numbers, no deposits, no payment links. If money has to change hands, that part is yours.

  • Texting is registered before it sends.

Every business number in the country has to clear carrier registration (A2P) before it is allowed to send. Opt outs are honored from the first message, and honored for good.

  • You hear what went out.

The recording lands in your account within a minute of hang up, with the transcript and a written summary beside it, so you can check what went out under your name.

Questions

What owners ask about this one.

Does it say it's an AI?

Calls are answered by a virtual assistant that says so at the start of every call. It handles the routine part well: what is wrong, where you are, what your schedule has open. Anyone who wants a person gets routed to one. Anything urgent or unusual is escalated rather than handled. Calls are recorded, with notice, so you can hear exactly what was said on your behalf.

What happens when someone wants a person?

It stops and hands off. Ask for a person and it takes the message, writes down what the call was about, and sends it to whoever you nominated with the recording attached. It does not argue and it does not try to keep the call.

Can I keep my current phone number?

Yes. The number stays yours. We point it at the assistant, and you can point it back whenever you want. Nothing changes for the people already calling it.

Can I name it something else?

Yes. Savannah is the name it comes with. Tell us what you want it called and that is the name it gives out at the start of every call.

What does it do after hours?

The same thing it does at noon. It picks up, works out what is wrong, checks the job is one you take, and books the slot. Anything urgent goes to your phone right then instead of waiting for morning.
