Program description
Southgate Strategies LLC ("Southgate," "we," "us") operates automated email on behalf of the businesses that hire us. These messages are sent in a client's name, and they go only to people already held in that client's own records: its customers, people who asked it for a price, and people who inquired at some point and never went further.
Southgate also sends email under its own name. Replies to inquiries, scheduling, and messages to the people we already work with. Those are covered by the same unsubscribe and privacy commitments set out below.
The emails we send
Review requests
When a business we work with marks a job complete, we send that customer a short message about two hours later, asking whether they would leave a review and linking to the business's review page. These are follow-ups to work you have already had done, and only customers of that business receive them.
Reactivation campaigns
Where a business asks us to reconnect with the people already in its records, we send a short series of emails in that business's name. Those emails can carry an offer, so they are treated as promotional email rather than as transactional follow-ups to a job.
Who receives them
Only people already held in the records of the business whose name is on the email. Review requests go to that business's customers, and only after it has recorded a completed job for them. Reactivation campaigns also reach people who never became customers, an estimate that was never sold or an inquiry that never went anywhere, because those people are in the same records and asked that business about its work at some point.
Where the addresses come from
- The client's own customer records.
- Estimates that business gave and never sold.
- Inquiries that business received and never closed.
Where they never come from
- Bought or rented lists. Southgate does not buy them.
- Scraped or otherwise acquired addresses.
- Anyone outside a client's own records.
- Anyone inside ninety days of that business's last job or estimate for them.
Where a business's records do not establish that someone agreed to be contacted another way, email is the channel we use.
Frequency
| Type | How many | Then what |
|---|---|---|
| Review request | At most two per completed job. The request itself, and a single reminder if there has been no response after about two days. | Nothing further is sent for that job. |
| Reactivation campaign | A short series of three or four emails over one to two weeks. | A wind-down rather than a stop: weekly for a few weeks, then no more than one message in any month from there on. A new offer can start a fresh series, in practice about once a quarter. |
An unsubscribe ends all of it at once.
How to unsubscribe
Every automated email we send, review request and reactivation campaign alike, carries a one-click unsubscribe link. Using it stops all further automated email from that business immediately, and you do not need to reply, contact anyone, or give a reason to make it work.
An unsubscribe is permanent, and it is not limited to the campaign it came from. It applies to everything that business sends afterwards, and nobody is put back on a list because a new campaign has started.
You can also reply to any message and ask to be removed, or write to us using the details below, and we will take care of it. Unsubscribing does not affect any service that business provides to you.
Email we send one to one, a reply to something you sent us, is not an automated mailing and carries no unsubscribe link. Ask us to stop writing and we will.
Postal address
Where an email we send is promotional in nature, it carries the sender's postal address, as required.
Privacy
Email addresses collected for these purposes are used only to send the messages described above. They are not sold, and they are not shared with third parties or affiliates for marketing or promotional purposes. A client's customer records are kept separate from those of every other business we work with. See our Privacy Policy for full details on how we handle your information.
Text messaging
Text messages are a separate program with its own consent and opt-out rules. See our SMS Terms & Conditions.
Delivery
Email providers and spam filters are outside our control, and we are not liable for delayed or undelivered messages.
Changes
We may update this page from time to time. The effective date above reflects the latest version.
