Using this site
The Site describes our services and lets you contact us. You agree to use it lawfully and not to interfere with its operation, attempt to gain unauthorized access to it, or use it to transmit anything harmful or misleading.
Informational content
Content on the Site is provided for general information about our services. It is not professional, legal, or financial advice. The commercial sections further down describe how our services are billed and what each one covers, and they apply to every client we take on.
Demonstrations and example data
Product demonstrations on the Site, including any simulated conversations or interface examples, use fictional companies, names, and data. They illustrate how our services work and do not depict actual clients or actual results.
Ridgeline Heat & Air is a made-up company. Every name, number and message in this example is invented to show how the product works.
Billing and cancellation

On the month to month plan you can cancel in any month, with no minimum term and no fee for canceling. Two things carry a term. Paying for the year up front is a commitment for the year, as the table above says. And a custom website you want to keep has a buyout, covered under Websites and the buyout below.
The first month of any monthly service is the build. It is billed the day you sign, and it is the month in which the work is set up rather than a month of the service already running.
Any service can be added to any tier.
Ad spend
Ad spend is $50/day minimum, about $1,500/mo, billed by Google and Meta to your own card. Never touched, never marked up. Management stays flat up to $5,000/mo of spend, then we requote.
- Ad spend is not part of any price we publish. Our management fee and your spend are two separate things, and the second one never passes through us.
- The card on file with Google and Meta is yours. You can see every charge in your own ad accounts, because they are your accounts.
- We do not add a percentage, a markup or a handling charge to what you spend on ads.
- Above the ceiling in the paragraph above, the management fee is requoted rather than silently scaled.
Google and Meta decide what they charge for a click and whether an ad is allowed to run. Neither is under our control, and neither is under yours.
Websites and the buyout
Cancel but keep a custom website: a one-time fee equal to three months of the website's monthly price. Essentials sites are templates and are not bought out.
- There is no build fee on any website we make. The build is the first month of the monthly price.
- While you are a client, the site is hosted, maintained and edited by us as part of the monthly price.
- If you cancel and do not buy the custom site out, it comes down. Your domain is yours and stays yours either way.
- Essentials sites are built from a shared template. There is nothing to transfer, so they are not bought out.
Database reactivation
On any tier, the $997 build fee is waived. The $97 per booked appointment is never waived. Bought on its own, reactivation is $997 to build, plus $97 per booked appointment.
What counts as a booked appointment
The per-appointment fee is charged when all five of these are true. If any one of them is not, it is not a booked appointment and it is not billed.
- It is inside your service area, measured from your base against the area you gave us.
- It is work you actually take, on the list of jobs you said yes to.
- A decision maker was on the line, somebody who can say yes to the work rather than a passer by.
- The number and the address are confirmed. The number is verified by reply and the address is read back and agreed.
- It is a specific slot on your calendar, confirmed in writing, not a promise to call back.
If it falls through
A no-show or cancellation is not billed if you flag it within one week.
Flagging one takes a message. We do not ask for proof.
Who gets contacted
A reactivation campaign only ever reaches people your own business already has a relationship with. That is the whole rule, and the rest of this section is what it means in practice.
- Only people already held in your records. We do not buy, rent or scrape lists, and we do not add anyone to yours.
- Nobody enters a campaign until at least ninety days have passed since the last job you did for them, or the last estimate you gave them.
- Texting goes only to the people your records show agreed to texts. Everyone else gets the same message by email. We do not cold text.
- An opt-out is permanent and applies to everything sent in your name afterwards. A new campaign never puts a suppressed contact back in.
- The records you send us are used to run your campaign and nothing else. They are kept separate from every other client's, and they are deleted with the rest of your information ninety days after you leave.
Additional locations
Each additional location is half the tier price. Three or more, or a franchise, is quoted.
Review automation is priced per location on its own as well, because each location has its own profile to ask for and reply to.
The virtual assistant
Calls are answered by a virtual assistant that says so at the start of every call. It handles the routine part well: what is wrong, where you are, what your schedule has open. Anyone who wants a person gets routed to one. Anything urgent or unusual is escalated rather than handled. Calls are recorded, with notice, so you can hear exactly what was said on your behalf.
Recordings, transcripts and summaries sit in your dashboard. You can hear any call in full, which is the point of recording them.
Callers hear the recording notice at the start of the call. A caller who does not want to be recorded can ask for a person.
Texting
Texting switches on once the carriers approve your business. Usually a few days, sometimes a few weeks. We file it the day you sign.
Texts go only to people who opted in to receive them. What that means, how someone opts in, how often we send, and how one word ends it are all set out in our SMS Terms, which is the version filed with the mobile carriers.
Automated email is a separate program with its own rules. Those are in our Email Terms.
What each service covers
Every service on this site has an edge. These are the edges, written down, so nobody finds one by being disappointed.
Local SEO
In scope
- Google Business Profile built out and kept current.
- Weekly posts to the profile.
- Listings across fifty or more directories, kept consistent.
- Manufacturer and trade-association listings where your business qualifies.
- Duplicate and wrong listings reported and chased down.
- A monthly map-rankings report.
Not in scope
- Blog content. We do not write it.
- Link outreach of any kind.
- Technical SEO work on your website itself.
Social content
In scope
- Posts created and scheduled every week.
- Facebook, Instagram and your Google Business Profile.
- Captions written for your business, not pasted from a bank.
Not in scope
- Community management. We do not answer comments or direct messages.
- Original photography or video shoots.
- AI-generated job site photos passed off as your real work. We do not make them and we will not post them.
Reviews
Every customer gets the same request and the same link, after every completed job. We do not gate reviews behind a happiness question, we do not filter who gets asked, and we do not offer anyone anything in exchange for one. Gating is against Google's policy.
Replies to new reviews are written and posted on your behalf. A low rating reaches you rather than sitting in a queue.
Intellectual property
The Site and its content, including the Southgate Strategies name, logo, text and design, are owned by Southgate Strategies LLC and protected by applicable law. You may not copy, reproduce, or use them without our prior written permission, except for viewing the Site normally.
Third-party links and services
The Site may link to or embed third-party services, for example form or scheduling tools. Those services are governed by their own terms and privacy policies, and we are not responsible for them.
Warranties and liability
Disclaimer of warranties
The Site is provided "as is" and "as available," without warranties of any kind, express or implied, including fitness for a particular purpose, accuracy, or uninterrupted availability.
Limitation of liability
To the fullest extent permitted by law, Southgate Strategies LLC will not be liable for any indirect, incidental, consequential, or punitive damages arising from your use of the Site.
Indemnification
You agree to indemnify and hold Southgate Strategies LLC harmless from claims arising out of your misuse of the Site or violation of these Terms.
Governing law and changes
These Terms are governed by the laws of the State of Arkansas, without regard to conflict-of-law principles. Any disputes will be resolved in the state or federal courts located in Arkansas.
We may update these Terms from time to time. The effective date above reflects the latest version, and continued use of the Site after changes means you accept them.
